1. Who is responsible
MINDSYSTEM SOLUTIONS S.R.L. is responsible for the processing described in this notice for the Hairgonomy app. For privacy questions or requests, contact [email protected]. This notice covers the app and its booking services. External websites have their own privacy notices.
2. Information we process
- Account and contact information. When you register, we process your name, email address, phone number (when you provide one), account identifier, language preference, and account and activity timestamps. Before you register, the app signs you in with a temporary anonymous account so you can browse; this creates an account identifier but no personal details. Firebase Authentication handles email and password sign-in. If you use Sign in with Apple, we receive the identifier and any name or email address that Apple provides with your permission. The current app version no longer offers Facebook sign-in; older installed versions may still show it and process the profile information that Facebook supplies.
- Booking information. We process your selected stylist and services, appointment dates and times, prices, appointment status, and the account and contact information linked to the booking. Authorized salon staff use this information to manage your appointments.
- Customer records created by the salon. If you book by phone or in person without an app account, salon staff may create a customer record with your name and phone number so your appointment can be managed and you can receive reminders. This notice applies to that information too, and you can contact us about it at any time.
- Discounts. If the salon grants you a discount, we store it with your account together with its percentage, validity period and remaining uses.
- Feedback. If you send feedback from the app, we store your message, the category and priority you choose, whether you allow us to contact you about it, and your device model, operating system and app version.
- Staff information. Stylists and booking administrators use the same app. Their name, picture and working hours are shown to clients so clients can choose a stylist and book a time.
- Technical and diagnostic information. We process app installation and notification identifiers, device and operating-system information, the app version, crash reports, and other diagnostic data. The app uses Firebase Cloud Messaging and Firebase Crashlytics. Service and security logs can include IP addresses, account identifiers, and information submitted to the service.
- Android usage analytics. The Android app includes Google Analytics for Firebase. With the current SDK configuration, the SDK collects:
- app-instance identifiers and advertising identifiers
- app lifecycle events, such as screen views and sessions
- approximate location, derived from a masked IP address
We use this information to understand how people use the app and to improve the service. The analytics do not use GPS and do not require a location permission.
- Notifications and reminders. We store your notification token with your account and remove it when your device reports that it is no longer valid. We keep the appointment notifications sent to you, such as confirmations, changes and cancellations. Reminders are based on your confirmed appointments: a push notification shortly before the appointment and, if your account has a phone number, an SMS the evening before. We record on the appointment when each reminder was sent so that you receive it once. A booking request that the salon does not confirm in time expires automatically, and you are notified. Your device settings control whether notifications are displayed.
3. Why we use the information
We use this information:
- to create and maintain accounts and sign you in
